Knowledge Framework:

Knowledge chaos is a term used when you get some much information about a subject that you are not able to use the
information provided. An effective Knowledgeframework is the best way to avoid the knowledge chaos. Libeuite KM
allows you to define the knowledge framework in an efficient manner. This is done through the process of defining
Projects, People, Designations, Departments and Special Interest Groups.

Document Repository:

Documents are a main source of knowledge in every organization. The type of knowledge documents have is called as
the Explicit knowledge. The documents can of various types and in various formats. The Document Repository allows
adding the bibliographic data about a document like the Title , Author, Keywords, Abstract etc. After the bibliographic data
the actual document can be uploaded into the repository through FTP protocol. So irrespective of the fact where you are
placed one can upload the documents into the repository.

The documents can be processed through a publishing cycle wherein every editor can pass his/her comments on the
document and decide whether to publish the document or reject the same.

Confidentiality of the knowledge:

A confidentiality level can be assigned to every document. The levels are defined as
Confidential
Restricted Access
Open to All

The Confidential documents are available only for specific individuals. Restricted access documents are made available
only certain designations or departments etc. Where as the open to all documents are made available to every user.

Tacit Knowledge Mobilization:

The main challenge in front of any KM initiative is how to capture the Tacit or implicit knowledge and how to disseminates
the same. Libsuite-KM handles this through various methods as follows.

Share you knowledge or knowledge snippets - You can share your views on various topics through this option. It gives
an opportunity to respond instantaneously on any topic. These comments are embedded in the Knowledgebank and can
be made available for every member in the knowledge group.

Suggest a document - This option allows the document being suggested for reference to everyone in the organization.
This suggestion can be made to a specific department or a specific designation or even to certain individuals.

certain answers as a Best Practice and the best practices can be made available to the enterprise this way.

Opinion Poll:

There is vast difference in the knowledge with individuals and knowledge as a consensus a group. Opinion polls is the
best method for gathering for this kind of a knowledge. Libsuite KM offers a very unique way of creating the opinion poll.
One can get set questions gathering specific information from various individuals.

The opinion poll is presented to individual users by offering them multiple choice answers. Every member gets a single
chance to cast his/her vote.

The result are shown in graphical format to those users who are entitled to view the results.

Glossary of Terms:

Libsuite KM allows you to create a glossary of terms which are normally used by the organization. One can specify the
terms and also an explanation on that specific term. Anytime this term is referred by any individual, an hyperlink is
provided using which one can get the details about that specific term.

Expert Profiling:

The expert profile is done in various ways in Libsuite KM. Every individual working in an organization has some special
ability or expertise. We strongly believe that expertise need not be only technical but expertise can also be built on the
area in which one works over a period of time.

Self Assessed:
The first method is Self Assessed expertise where in an individual can fill up about the profile.

Derived: A client can be loaded on a machine which would go through all the documents which are available on local
desktop. It would pick the keywords from these documents and create a profile of a person by picking up mostly used
words.

Designated: An expertise can be designated to a person by the seniors. This is the expertise about that individual
based on what others think about him.

Minutes of the meetings

Meetings normally consume a large portion of the time in the corporate world. One can get control over the same by
automating the Minutes of Meetings system. By this systems all the details about the meeting can be captured with details
about the tasks which should be performed by every individual. These tasks are assigned to different members and
every member would get the list of tasks on his/her desktop.

Since the action taken on every task can be registered, the whole group is aware about the action being taken on every
